All Done Property Management ("All Done", "we", "us") manages residential and commercial properties in Ontario, Canada. This policy explains what personal information we collect through www.alldonepm.com, why we collect it, who we share it with, and the choices you have. It applies to this website and to the requests you send us through it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. What we collect

1.1 What you send us

When you use a form on this site, we collect what you type into it.

  • Free quote form: name, email, phone, city, property address, property type, number of units, whether the property is tenanted, timeline, the services you picked, and any message.
  • Maintenance request form (tenants): name, phone, email, address and unit, how urgent the problem is, whether we may enter if you are out, a description of the problem, and up to three photos if you choose to attach them.
  • Email and phone: if you email info@alldonepm.com or call us, we keep what you tell us so we can help you.

1.2 What the website collects automatically

  • Technical data: when you load a page, our website host receives your IP address, browser type, and the page you asked for. We do not keep website access logs. If a form submission fails, the submission can be kept in a technical error log for up to 30 days so we do not lose your request.
  • Spam protection: our forms use Cloudflare Turnstile to tell people from bots. It runs a short check in your browser and sends information about your browser and connection to Cloudflare.
  • Fonts: the site loads its fonts from Google Fonts, which means your browser contacts Google and your IP address is visible to Google.
  • Analytics (only if you accept): if you click Accept on the analytics banner, we use Google Analytics. See section 5.

2. Why we collect it

We use your information to:

  • reply to your quote request or question;
  • arrange, track and complete repairs and other maintenance;
  • manage tenancies and the properties we look after;
  • keep the website secure and block spam and abuse;
  • understand which pages are useful, if you accepted analytics;
  • meet our legal and record-keeping obligations.

We collect only what we need for these purposes. When you submit a form, you agree that we may use what you send for the purposes above. You may withdraw that consent at any time (see section 9), though we may then be unable to help with your request.

3. Who we share it with

We do not sell your personal information. We share it only as follows.

  • Our service providers. Amazon Web Services hosts the website and its form handler in Canada (Montréal-area region: ca-central-1). Cloudflare provides the spam check. Google provides the fonts and, if you accept, analytics. Our property-management system and email provider store and process the requests and messages you send us.
  • Trades and contractors. To fix a maintenance problem, we give the trade the details they need: your name, phone number, the address and unit, a description of the problem, and any photos.
  • Property owners. If you are a tenant, we may share your request with the owner of the property as needed to manage the tenancy.
  • Legal and safety reasons. We may disclose information when the law requires it, for example to the Landlord and Tenant Board, a court, or an authority with the legal right to ask, or when needed to protect people or property.

4. Outside Canada

Our website and form data are handled in Canada. However, Cloudflare and Google process data in the United States and other countries, and our website's delivery network serves pages from locations around the world. Information handled in another country is subject to that country's laws, which may allow its courts or authorities to access it.

5. Cookies and analytics

This website sets no cookies of its own. The only cookies we use come from Google Analytics, and only if you click Accept on the banner.

If you accept, Google Analytics sets the cookies _ga and _ga_… and records which pages you view, roughly where you are (city level), your device and browser type, and how you found the site. We have turned off Google's advertising and ad-personalization features, and we keep analytics data for up to 14 months. Google may process this data outside Canada (see section 4).

If you decline, or ignore the banner, Google Analytics does not load and nothing is sent to Google for analytics. We remember your choice in your browser's storage. You can change it at any time with Analytics settings at the bottom of any page. You can also block cookies in your browser settings, or use Google's opt-out browser add-on at tools.google.com/dlpage/gaoptout.

6. Photos

Photos you attach to a maintenance request are stored with that request and shared only with the trade doing the work. Please photograph the problem only, and avoid showing people, documents, or personal items. Photos may be visible to anyone working on your request.

7. Keeping your information safe

Our website uses encrypted (HTTPS) connections. Form submissions and photos go directly into our property-management system, which only our team can access, and the website's own storage is private. We limit access to the staff who need it. No system is completely secure, so we cannot guarantee absolute security.

8. How long we keep it

  • Clients and tenants: we keep records while you are our client or tenant and for 7 years afterward, to meet legal and accounting obligations.
  • Enquiries that do not become clients: deleted after 1 year.
  • Website error logs: up to 30 days.
  • Analytics data: up to 14 months, if you accepted analytics.

When we no longer need information, we delete it or make it anonymous.

9. Your rights

You can ask us to:

  • tell you what personal information we hold about you and how we use it;
  • correct information that is wrong or out of date;
  • stop using or delete your information, where the law allows;
  • withdraw your consent to uses that depend on it.

Email info@alldonepm.com. We will respond within 30 days. We may need to confirm who you are first.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.

10. Children

Our services are not meant for people under 18, and we do not knowingly collect personal information from them.

11. Links to other sites

This website may link to other sites. We are not responsible for their privacy practices.

12. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows the latest version. If we make a significant change to how we use your information, we will tell you on this website.
